We negotiate contracts regarding property, transportation, audio visual, technical, catering, attraction and others as required. Keeping expenditures within limits requires our constant monitoring and includes exploring costs, and taking bids. On request we solicit donations or sponsors to defray the costs.
We collaborate with senior management to plan the program content, and guide organizers in establishing goals, aims, and objectives for the conference. We research past history, participant profiles, possible sites and properties. We develop realistic budgets to purchase services; review all vendors billing to ensure accuracy and prepare post-program cost analysis. As your coordinator, we will promote, advertise and handle the public relations as well as printed material for the conference itself, marketing and advance media conference. Everything from seating arrangements, entertainment and decor are organized. On-site personnel are recruited and trained. We manage registration and fee collection, maintain computerized records, and evaluate the conference. Time lines are determined and maintained.
Prepare sponsorship packages and secure required sponsorship, with the assistance of the organizing committee.
Manage graphic design and printing (programs/handouts, banners, website etc); speaker recruitment and logistics; entertainment; musicians, comedy, magic, gifts, awards and promotional items; photography; transportation; AV and on-site management.
Manage media on conference site; develop media advisories, invitations and media kits.
